CMYK vs RGB: Why Your Printed Colors Never Match the Screen (And How to Fix It)

You approve the artwork on screen. The blue is electric, the green pops, the brand looks exactly right. Two weeks later the printed boxes arrive and that electric blue has turned into a flat, slightly purple sludge. Nothing was “wrong” with the file. The colors simply moved from one color system to another, and nobody managed the handover.

This is the practical difference between CMYK vs RGB. Most articles stop at “RGB is for screens, CMYK is for print.” That is true, and it is also where the useful information usually ends. Below is what our studio actually does to keep brand colors consistent from a monitor to a printing press, including the conversion workflow, Pantone bridging, ink limits and the pre-press checks we run before any file leaves the building. The short answer

  • RGB (Red, Green, Blue) is an additive color model. It mixes light. Start with black (a screen turned off) and add light to reach white. Used for websites, apps, social media, video, digital ads and anything viewed on a display.
  • CMYK (Cyan, Magenta, Yellow, Key/Black) is a subtractive color model. It mixes ink or toner on paper. Start with white paper and subtract light by layering ink until you approach black. Used for offset, digital and most commercial printing.
  • RGB can display colors that no ink combination can reproduce. That gap is why prints look duller than the screen preview.

Why the colors shift: it is a gamut problem, not a software problem

A gamut is the range of colors a device can physically produce. Your monitor emits light and can hit intensities that no pigment can match. Ink sits on paper and reflects ambient light, so it can only ever be as bright as the light hitting it and as white as the sheet under it.

When a designer converts an RGB file to CMYK, every color outside the printable gamut gets remapped to the closest printable equivalent. That remapping is where the disappointment happens.

The colors that suffer the most

  • Electric and cobalt blues (for example #0000FF) shift toward purple or navy.
  • Neon greens and limes lose their glow and turn grassy.
  • Bright oranges and warm reds flatten and can look brick-like.
  • Vivid violets, magentas and teals desaturate noticeably.
  • Pastel screen tints can band or go muddy if built from four inks instead of one or two.

Other factors your file cannot control

  1. Paper stock. Uncoated paper absorbs ink, so the same CMYK build prints up to 15 to 20% duller than on gloss coated stock. This is why Pantone sells separate coated and uncoated guides.
  2. Dot gain. Ink spreads slightly as it hits the sheet, darkening midtones. Press profiles compensate for this, but only if you use them.
  3. Press type. Sheetfed offset, web offset, HP Indigo, dry toner and large format inkjet all have different gamuts. Some inkjet and Indigo devices actually reach beyond standard CMYK in certain areas.
  4. Monitor calibration. An uncalibrated laptop screen at full brightness in a dark room makes everything look richer than any print will be.
  5. Viewing light. A print judged under warm office LEDs will not match the same print under daylight. Pros evaluate under D50 lighting.

Color profiles: the part most people skip

“RGB” and “CMYK” are not precise instructions, they are categories. The profile is what gives them meaning.

RGB profiles worth knowing

  • sRGB: the safe default for the web, email and anything shared publicly. If you are unsure, use this.
  • Adobe RGB (1998): wider gamut, historically favored for photography destined for print because it holds more of the cyan and green range that CMYK can partly reproduce.
  • Display P3: the wide gamut used by modern Apple and high end displays. Great for screens, but it makes the gap with print even more dramatic, so never judge print color on an uncontrolled P3 display.

CMYK profiles worth knowing

  • GRACoL 2013 (CRPC6): common North American sheetfed coated standard.
  • Coated FOGRA39 or FOGRA51: common European coated standards, FOGRA51 assumes optically brightened paper.
  • US Web Coated (SWOP): web offset publication printing.
  • PSO Uncoated or Uncoated FOGRA29/52: for uncoated stock, with lower total ink limits.

The rule: ask your printer which profile they run, then use that exact one. Guessing costs more than asking.

The conversion workflow that avoids dull prints

1. Decide the destination before you open the file

If the deliverable is print only, set the document to CMYK with the correct profile from the start. If the asset is going everywhere (web, print, video, merch), build the master in a wide RGB space and export versions per destination. Do not design once and hope.

2. Design with soft proofing turned on

In Photoshop and Illustrator use View > Proof Setup > Custom, choose the target press profile, then toggle View > Proof Colors (Ctrl/Cmd + Y). In InDesign it is under View > Proof Setup. You are now looking at a simulation of what the press can do. Adjust while you can still make creative decisions, instead of accepting whatever the automatic conversion gives you.

Photoshop also offers View > Gamut Warning, which flags out of gamut areas in gray. Useful for spotting a hero color that is about to collapse.

3. Convert late, and convert once

Repeated round trips between RGB and CMYK degrade the file every time. Keep layered masters in RGB, then convert to the press profile at export. In Photoshop use Edit > Convert to Profile rather than Image > Mode > CMYK, because Convert to Profile lets you choose the engine, the rendering intent and black point compensation.

4. Choose the right rendering intent

5. Fix your blacks

Black is where amateur files reveal themselves instantly.

  • Body text: 100% K only. Four color small text goes fuzzy the moment registration drifts by a hair.
  • Large black areas: use a rich black so the area does not look washed out next to a photo. A common coated recipe is C60 M40 Y40 K100. Check your printer’s preference first.
  • Registration black (all four at 100%) is for crop marks only. Never for artwork.
  • Total ink coverage: keep under roughly 300% for coated stock and around 240 to 260% for uncoated or newsprint, or the sheet will not dry properly and will set off onto the next one.

6. Do not convert what does not need converting

Grayscale images should stay grayscale. Spot colors should stay spot until the printer tells you to convert. And if you are supplying to a digital press with an RGB workflow (some Indigo and inkjet RIPs prefer RGB input because they can then map into their own extended gamut), converting to CMYK yourself throws away color the device could have printed. Again: ask.

Pantone bridging: getting brand colors to survive the trip

Spot colors are pre-mixed inks applied in a dedicated print unit. They are consistent, they can hit colors CMYK cannot (fluorescents, metallics, deep corporate blues) and they cost more because each one adds a plate and a wash-up.

When a spot color is worth paying for

  • Packaging with a large area of one flagship brand color.
  • Logos that must be identical across print runs, suppliers and countries.
  • Colors that sit clearly outside the CMYK gamut (bright orange, vivid violet, neon anything).
  • Two color jobs, where two spots can be cheaper than full process.

How bridging actually works

Pantone’s Color Bridge guides show each spot color next to its closest four color process simulation, side by side on the same page, in coated and uncoated versions. That side by side is the honest preview of what you will get in a CMYK run. Pantone Connect gives you the same data digitally, including the sRGB and HEX values.

The practical approach for a brand:

  1. Define the brand color as a Pantone spot (the master reference).
  2. Record its Color Bridge CMYK equivalent for coated and, separately, for uncoated. They are different numbers, and that is intentional.
  3. Record the sRGB / HEX value for digital.
  4. Where the process simulation is visibly weak, note a manually tuned CMYK build approved on a press proof, and use that instead of the automatic value.

A brand guideline that lists only a HEX code is an invitation for every supplier to guess differently.

Extended gamut printing

Some packaging printers now run CMYK plus orange, green and violet (often called ECG or 7 color process). This reaches a much larger share of the Pantone library without changing plates between jobs. If your brand palette is full of colors that die in standard CMYK, ask whether your printer offers extended gamut before resigning yourself to spot ink costs on every run.

Pre-press color checklist

Run through this before any artwork leaves your hands. It takes ten minutes and saves entire print runs. A comparable breakdown sits on mixam.com.

  1. Document color mode is CMYK with the printer’s specified profile (or RGB, if the printer explicitly requested it).
  2. All placed images are converted or correctly tagged. No stray sRGB PNGs sitting in a CMYK document unless intended.
  3. No unintended RGB or Lab objects. Use InDesign’s Ink Manager and the Separations Preview panel, or Acrobat’s Output Preview, to confirm.
  4. Spot colors are named consistently (“PANTONE 2935 C” everywhere, not three variants of the same swatch) and either intentional or converted to process.
  5. Black text is 100% K only, with overprint set correctly.
  6. Rich black used only for large solids, with a printer-approved recipe.
  7. Total ink coverage checked in Acrobat Output Preview against the stock limit.
  8. Minimum tints are printable. Anything under about 3 to 5% may drop out entirely on press.
  9. Gradients checked for banding, ideally with a touch of noise added.
  10. Resolution at 300 ppi for images at final size, 1200 ppi for bitmap line art.
  11. Bleed of 3 mm (or 0.125 in) plus safe margins on all trimmed edges.
  12. Overprint preview switched on in Acrobat, because a white object set to overprint will vanish on press and look perfectly fine on screen.
  13. Export preset matches the requirement: PDF/X-1a for flattened CMYK legacy workflows, PDF/X-4 when transparency and color management are supported.
  14. Fonts embedded and artwork outlined where required.
  15. Proof requested. A contract proof for critical color, or at minimum a press sheet approval for large runs.

Common mistakes we still see in 2026

  • Converting a finished JPEG to CMYK at the last minute and hoping the printer will “fix the color.” They will not, they will print what you sent.
  • Judging print color on a phone in a bright room.
  • Using a HEX code as the only brand reference across print suppliers.
  • Exporting from Canva or Figma for offset work without checking the export color space. Canva works in RGB and only offers a CMYK PDF option on paid plans, and Figma is RGB by design. Both are fine for digital and light print, but a serious packaging job belongs in Illustrator or InDesign.
  • Ignoring paper. The same file on gloss coated, silk and uncoated will give you three different results and all three are correct.
  • Skipping the hard proof on a 20,000 unit run to save a small proofing fee.

Why do we print in CMYK and not RGB?

Because printing puts ink on paper, and ink works subtractively. There is no way to physically emit light from a sheet of paper the way a screen does. CMYK inks are the industry standard set that reproduces the widest practical range of colors at reasonable cost. Some digital presses accept RGB files, but they still convert internally to their own ink set.

Is it better to use CMYK or RGB?

Neither is better, they serve different outputs. Use RGB for anything viewed on a screen and CMYK for anything printed on a press. The real skill is managing the conversion between them rather than picking a winner.

Which color format is best for printing?

CMYK with the specific ICC profile your printer uses (for example GRACoL 2013 or Coated FOGRA39), exported as PDF/X-1a or PDF/X-4. For brand critical color, add Pantone spot inks. For wide format inkjet, some vendors prefer a tagged RGB file so their RIP can use the printer’s full gamut.

Is Canva CMYK or RGB?

Canva works in RGB. Paid plans can export a PDF for print with CMYK conversion applied, but you have no control over the profile or rendering intent. It is acceptable for simple flyers and internal materials, and not recommended for packaging, brand collateral or any job where color accuracy matters.

How do I convert RGB to CMYK in Photoshop without ruining the colors?

Use Edit > Convert to Profile, select the destination press profile, choose Relative Colorimetric with black point compensation for graphics or Perceptual for saturated photography, and preview the result before committing. Soft proof first with Ctrl/Cmd + Y so you can adjust saturated areas by hand while they are still editable.

Why does my print look darker or duller than my screen?

Three usual causes: your monitor is uncalibrated and too bright, the file contained out of gamut RGB colors that were clipped on conversion, or the paper stock is absorbing ink.
